5 Things Wedding Planners Do (That You Might Not Know About!)
Investing in a wedding planner goes further than most couples realize! While most are familiar with parts of our role during the planning process, few realize the extent of our involvement in wedding day logistics. There are many, MANY responsibilities we juggle, but here are just a few you may not have considered:
Vendor Supervision: We’ll communicate when your vendors should arrive and where they should set up. We’ll coordinate on-site storage of their items and ensure they have a comfortable spot to eat and take breaks.
Rental Coordination: We’ll coordinate rental delivery and pickup times with your venue, and assist with setup and teardown on the big day. In addition, we’ll take an inventory of all your rentals after the event to ensure everything is present and accounted for.
Sound System Setup: We’ll work with your DJ (if you have one) or venue’s staff to ensure your ceremony is properly amplified. We’ll also work closely with your entertainment company, DJ, or MC throughout the event to ensure smooth transitions and appropriate announcements.
Timeline Management: We understand how a wedding day should flow, and if necessary, we’ll make adjustments to your timeline. If there’s a need to either move up or push back a transition, we’ll share that decision with your vendor team. We’ll also communicate with your guests during transitions, ensuring everyone is in the right place at the right time.
Itinerary Creation: Besides helping you plan the flow of events, we’ll also compose a Master Timeline that includes all vendor arrival times, setup/teardown details, ceremony choreography, and a shuttle schedule. This will ensure that the entire vendor team is properly informed and working together seamlessly.
Our Approach to the Wedding Design Process
We prefer to work closely with our clients throughout the design process. When a couple books our most popular package, “Partial Planning & Design,” we take the lead on all design efforts, but they remain involved. Usually, the process looks something like this:
Gathering Inspiration: We ask the couple to compile some inspirational images on a Pinterest board. After we review it, we discuss budget ranges for florals and rentals with them.
Vendor Recommendations: From there, we recommend florists that would be a good match for the couple, based on their budget and style preferences. We also choose a rental company that fits their desired aesthetic. Our ability to provide these recommendations with confidence comes from two decades of experience working in the Sonoma wedding industry. We’ve had the pleasure of working with many local vendors over the years, so we know where to steer our clients based on their price range and priorities.
Introductions and Design Proposals: We facilitate an email introduction between our clients and several florists, and begin the process of obtaining a quote and/or a design proposal. We ask our clients to take notes during each discovery call so they can recall their interactions with each vendor. Then, once we receive the proposal(s), we review them with our clients and compare them to our inspiration. This process usually enables us to identify the florist who will be the best fit!
In-Person Design Meetings: After booking a florist, we have an in-person meeting to review the client’s inspiration, color palette, and desired floral materials. We aim to fine-tune and ultimately confirm the design that the florist will be working on. We also make a rental showroom appointment, ideally the same day, so that everything from our meeting with the florist is fresh in our minds. If possible, we’ll get a sample centerpiece from the florist to take to the showroom! That way, we can create a mockup place setting and see how it looks with various options in the showroom.
Besides florals and rentals, we also consult with our clients on paper goods, from their invitation to their day-of signage and stationery. We take meticulous notes at each design meeting, which later assist us during the wedding day setup. We typically set the first place setting for the catering team and oversee the rest of the setup process to ensure that each table follows our design plan.
